Sending a salary slip, a contract, or a mark sheet over email or WhatsApp without a password can feel risky. On the other side, maybe someone sent you a locked PDF and you know the password but need to remove it so you can edit or print freely.
This guide shows you how to do both using QuickPDFOnline's Protect / Unlock PDF tool. It's free, works in your browser, and your file never gets sent anywhere.
What Does Protecting or Unlocking a PDF Mean?
Protecting a PDF means adding a password so no one can open it — or use certain features like printing or copying — without entering that password first. Unlocking means the opposite: removing a password from a PDF that already has one, so it opens and behaves like a normal file again.
Why You Might Need This
- Sending sensitive documents: A payslip, ID copy, or bank statement that shouldn't be opened by just anyone who gets hold of the file.
- Sharing contracts safely: Send a document that shouldn't be edited, but still needs to be readable by the recipient.
- Sharing a PDF but keeping control: Give someone the open password so they can read it, while you keep a separate owner password that only you know.
- Removing an old password: A PDF you own and no longer need locked, or one where you know the password but want it gone.
- Freeing up restricted files: A PDF that blocks printing or copying, even though you have every right to use it that way.

How to Protect a PDF — Step by Step
Here's how to add a password using QuickPDFOnline. Takes under a minute.
Open the Protect / Unlock PDF tool
Go to quickpdfonline.com/pdf-password. Select the "Protect PDF" tab.
Upload your PDF
Click to choose your file or drag it onto the page.
Set your open password
Type a password and confirm it. Watch the strength bar to make sure it's strong enough. This is the password people will need to open the file.
NewAdd your own owner password (optional)
Want to be able to lift the restrictions later? Enter an owner password that is different from the open password. Leave it blank and the tool creates a random one for you.
Choose restrictions (optional)
Tick what people are allowed to do: printing, copying text, or editing. Untick anything you want blocked.
Protect and download
Click the button. Your protected PDF downloads as protected_…, and a note below the button shows exactly what was locked.
Once protected, anyone opening the file will need to enter the password. Any restriction you turned off stays locked even after the file is opened correctly.
Open Password vs Owner Password
There are two kinds of passwords a PDF can have, and they do different jobs.
- Open password: Required just to view the file at all. Without it, the PDF won't open in any reader.
- Owner password: Controls the restrictions. Whoever enters it gets full permissions, including printing, copying and editing.
| Open password | Owner password | |
|---|---|---|
| What it does | Asks for a password to open the file | Controls print / copy / edit restrictions |
| Without it | The file will not open | The file opens, but restricted actions stay blocked |
| Who usually has it | Everyone you share the file with | Only you |
Owner password only mode
Tick "Owner password only" in the Protect tab if you want the file to open for everyone without a password, but with restrictions on what they can do. It's useful for reports you want people to read but not copy or print.
no password needed

unlocks restrictions
Important: in this mode, untick at least one of Printing, Copying or Editing. If all three stay ticked, nothing is restricted and the owner password has nothing to protect. Files made this way download as owner_protected_….
NewSet Your Own Owner Password
Earlier, in normal mode you could only set one password, and the tool made up a hidden owner password for you. That worked, but you had no password of your own to lift the restrictions. Now there's an optional Owner Password field right below Confirm Password.
- ✓ Can open and read the file
- ✗ Printing blocked (if unticked)
- ✗ Copying blocked (if unticked)
- ✗ Editing blocked (if unticked)
- ✓ Can open and read the file
- ✓ Printing allowed
- ✓ Copying allowed
- ✓ Editing allowed
When to use it
- You send a contract to a client. They get the open password and can read it, but can't print or copy it.
- You still need to print or copy the same file yourself, so you open it with your owner password.
When you can skip it
If you only need a normal password, leave the field blank. The tool generates a random owner password so your restrictions still work. You can always remove the protection later in the Unlock tab with the open password.
What Printing, Copying and Editing Restrictions Do
Each restriction you untick switches off a group of actions in the PDF viewer.
Why you don't see a popup
Your PDF viewer (Chrome, Edge, Adobe Acrobat and others) decides how a restriction looks. Most simply grey out the button or ignore the click, with no message. To make this clear, the Protect tool now shows a note after download, such as "Printing, Copying will be disabled in PDF viewers", so you know the restriction worked.
How it behaves in different viewers
| Viewer | What you will notice |
|---|---|
| Adobe Acrobat / Reader | Edit, comment and page tools are greyed out. Printing and copying are blocked. |
| Chrome / Edge | Printing and copying are blocked. These browsers don't offer editing tools anyway, so the Editing restriction looks the same as before. |
| Other tools | Behaviour varies. Some apps ignore restrictions completely. |
How to Unlock a PDF — Step by Step
Here's how to remove a password on the same tool.
Switch to the "Unlock PDF" tab
On the same page, select "Unlock PDF" instead of "Protect PDF."
Upload the locked PDF
Choose the file that currently has a password on it.
NewEnter the open or owner password
Either password works. If the PDF opens freely and only blocks printing or copying, leave the field blank, or enter the owner password if you set one.
Unlock and download
Click the button. Your unlocked PDF downloads as unlocked_…, with no password and no restrictions.
(or leave blank)
Which password to enter
| Your PDF is… | Enter in Unlock |
|---|---|
| Owner-only (opens freely, restricted) | Leave blank, or the owner password |
| Open password + your own owner password | Either the open or the owner password |
| Open password + auto-generated owner password | The open password |
Benefits of Doing This the Right Way
- Real security: A properly password-protected PDF can't be opened without the correct password by any standard PDF reader.
- Control over restrictions: Choose exactly what people can do with the file even after it's open, and keep your own owner password to lift them.
- Clear feedback: The tool tells you what was locked, so you're never guessing.
- Quick to reverse: If you no longer need a password, unlocking takes just as little time as protecting did.
- Stays private: On QuickPDFOnline, both your file and your passwords stay in your browser. Neither is ever sent to a server.
Common Problems and Simple Fixes
The unlock tool says the password is wrong
Double-check for typos, extra spaces, or case sensitivity — passwords are usually case-sensitive. If you're sure it's correct and it still fails, the PDF may use a different password than the one you're trying. Try the other one if you set both an open and an owner password.
I forgot the password I set
There's no way to recover a forgotten password — this is by design, since a recoverable password wouldn't provide real security. Keep your passwords saved somewhere safe, like a password manager.
My PDF opens fine but I can't print or copy from it
The file has restrictions set through an owner password. Use the Unlock tool and leave the password field blank, or enter the owner password if you know it.
I unticked Printing but the person can still print
Check two things. First, make sure the open and owner passwords are different. Second, remember that some PDF apps ignore restrictions. Chrome, Edge and Adobe respect them.
I unticked Editing but nothing changed in Chrome
Browsers don't have PDF editing tools, so there's nothing for the restriction to switch off. Open the file in Adobe Acrobat to see editing tools greyed out.
